2. Initiator Workflow

How to draft, complete, and submit a new Request for Change (RFC).

Step 1

Access Form

Click Initiate Request in the left sidebar menu to open the RFC creation workflow.

Step 2

Fill Change Details

Provide Change Type, Department, Location, Reason, Scheduled Date, Priority, and Impact analysis.

Step 3

Assign Personnel

Select designated Implementors and an authorized Approver from the dropdown lists, then submit.

Initial Status: Once submitted, the RFC receives an automatically generated reference number (e.g. CR-XXXXXX) and its status is marked as OPEN.
Rescheduling & Re-queuing Rejected Requests

If an approver rejects a change request with feedback or timing concerns, the initiator can easily reschedule it:

From Request Details View

Open the rejected request and click Reschedule & Re-queue for Approval in the action panel or execution date section.

From the Change Calendar

Click the rejected request inside the day details dialog and select Reschedule & Re-queue.

Selecting and confirming a new future date automatically re-opens the request to OPEN and queues it for fresh approval.

3. Approver Workflow

Reviewing, approving, or rejecting assigned pending change requests.

1

Navigate to Approvals

Users designated as Approvers can click Change Approval under Workflow in the sidebar menu.

2

Evaluate Request Details

Click on any pending RFC to review the change justification, affected services, resource requirements, test plan, and rollback strategy.

3

Decision & Comments

Approve Request

Transitions the status to WORK IN PROGRESS, authorizing implementors to proceed.

Reject Request

Transitions the status to REJECTED with mandatory feedback comments explaining the rejection reasons.

Past Execution Date Enforcement

In accordance with change governance standards, approvers cannot approve a change request whose scheduled date has already passed.

As the assigned approver, you can directly reschedule the request to a valid future execution date before signing off.

Automated 3-Day Daily Reminders

Approvers receive automated daily email reminders starting 3 days prior to the scheduled execution date for all pending OPEN requests.

This ensures pending changes are reviewed, rescheduled, or approved in advance without delaying operational timelines.

4. Implementor Workflow

Logging execution, test environment outcome, and finalizing approved changes.

Step 1

Assigned Tasks

Access Implementations in the sidebar to view all approved RFCs where you are assigned as an Implementor.

Step 2

Log Execution Results

Fill in the test environment verification results, actual implementation outcome details, and execution date.

Step 3

Close Request

Submit the implementation report. The RFC status automatically transitions to CLOSED.

3-Day Implementation Preparation Reminder: Once an RFC is approved (WORK IN PROGRESS), assigned implementors receive automated email alerts 3 days prior to the execution date to ensure readiness.

5. Change Calendar & Conflict Detection

Interactive monthly schedule visualization, intelligent collision detection, and role-based rescheduling.

Schedule Navigation & Filters
  • Browse scheduled changes month-by-month with intuitive navigation and a quick Today reset.
  • Filter views by Department, Priority (Urgent, High, Medium, Low), or Status.
  • Click on any day cell to open the Day Details Modal and review all change requests scheduled for that date.
Intelligent Collision Detection

The calendar continuously inspects scheduled changes to safeguard against concurrent conflicts:

  • Department Overlaps: Multiple changes scheduled concurrently within the same operational department.
  • High-Impact Collisions: Multiple High or Urgent priority changes slated for the exact same date.

Conflicting dates are highlighted with red rings and badges. Use Focus Conflicting Dates to isolate colliding dates across any month.

Rescheduling Permissions & Conflict Prevention
Role-Restricted Rescheduling

The Reschedule button on calendar items is displayed strictly to the initiator or assigned approver of that request. It is cleanly hidden from all other users.

Real-Time Target Date Warnings

When selecting a new date in the reschedule dialog, the system provides instantaneous feedback if the target date already has department changes or high-priority collisions.

6. Reports & Change Log

Analytics overview, SLA tracking, advanced multi-parameter filtering, and audit log exports.

KPI Analytics Cards

Instant visibility into high-level metrics: Total Change Requests, Open requests awaiting review, Work In Progress, Closed, Rejected, and Critical changes.

Approval SLA Indicators

Color-coded SLA badges display whether change approvals were processed within target turnaround times or overdue, aiding process optimization.

Range Filtering & Search

Filter the audit table by custom date ranges using the interactive calendar picker, filter by department or status, and conduct instant keyword searches.

Structured Audit Log Export

Select specific requests via row checkboxes or export the entire filtered view by clicking Export Change Log. Download professionally formatted Excel (.xlsx) or standard CSV (.csv) files ready for management reporting and compliance audits.
